Insurance-ready emergency refrigeration

Insurance-Ready Emergency Cooler and Freezer Rentals

When a walk-in cooler or freezer fails, protecting the inventory cannot wait for the claim process. Cooler Lease provides temporary commercial refrigeration while preparing the estimates, records and itemized invoices an adjuster needs to evaluate the rental. When authorized in writing, we can bill the carrier or its third-party administrator directly.

Direct billing is a payment arrangement—not a guarantee of insurance coverage. Approval depends on the policy, cause of loss, carrier and assigned adjuster.

Reduce the interruption

Emergency Refrigeration for Covered-Loss Situations

A temporary unit can help protect inventory and keep a commercial operation moving while the permanent system is repaired or replaced. Cooler Lease may support businesses experiencing:

  • Mechanical or electrical equipment breakdown
  • Compressor or refrigeration-system failure
  • Covered power interruption
  • Fire, smoke, storm or water-related damage
  • Building damage that makes permanent refrigeration unusable
  • Repair or replacement delays
  • Temporary shutdowns threatening perishable inventory
  • Other covered events where temporary refrigeration may reduce the loss

Coverage varies by policy, cause of loss, notice, deductible, limits and carrier requirements. The carrier must confirm coverage and authorize payment.

How the Insurance-Authorized Rental Process Works

Emergency response and carrier review can move in parallel. Written approval separates an urgent equipment request from an authorized direct-billing arrangement.

Emergency response

Stabilize the Loss

The business requests emergency cold storage to protect inventory and reduce operational interruption.

Claim file

Open or Identify the Claim

The customer provides the carrier, claim number, date of loss and assigned adjuster information when available.

Rental package

Submit the Rental Package

Cooler Lease sends the adjuster an itemized estimate, anticipated rental term, delivery information, W-9, certificate of insurance and other available vendor documents.

Written approval

Receive Written Authorization

The carrier or adjuster confirms the approved equipment, rate, delivery charges and rental period. Verbal conversations are not treated as final approval.

Delivery record

Deliver and Document

The unit is delivered, set up and documented. Relevant photographs, equipment information, dates and temperature records are added to the rental file.

Closeout

Invoice and Close the File

Cooler Lease submits approved invoices directly to the designated carrier or TPA and obtains written authorization for extensions before the approved rental period expires.

If carrier authorization is still pending, emergency dispatch may require a customer-authorized payment method or payment guarantee. Deductibles, denied claims, uncovered charges and unauthorized rental extensions remain the customer’s responsibility.

Organized from request through pickup

Documentation Built for the Claims File

We coordinate rental documentation directly with your adjuster, carrier or third-party administrator. The file focuses on the equipment and services Cooler Lease actually provides.

Clear rates, equipment information, service dates and written extension controls help every party understand the temporary refrigeration cost.

Direct Billing Versus Reimbursement

Direct billing is not automatic and is not equivalent to policy coverage. The written authorization controls who receives an invoice and which charges have been approved.

Carrier pays vendor

Direct billing

The carrier or TPA receives and pays approved invoices directly after written authorization and vendor setup.

Customer pays first

Customer reimbursement

The customer pays Cooler Lease and submits invoices and supporting records to the carrier for possible reimbursement.

Approval not final

Pending authorization

Cooler Lease may require a customer payment method or guarantee until the carrier issues written approval.

Insurance, billing & inquiry terms

Rental fees do not include food-spoilage or contents insurance. I understand this form starts a rental review only. It does not guarantee a rental, insurance coverage, carrier payment, equipment availability, delivery time, pricing, or approval. Direct billing requires written authorization, and I may remain responsible for deductibles, denied charges, damage, or rental periods the carrier does not authorize.

Cooler Lease provides temporary refrigeration services, estimates, invoices and supporting documentation for its own rental services. Cooler Lease does not interpret insurance policies, determine coverage, adjust losses or represent policyholders in coverage negotiations. Coverage decisions are made solely by the applicable insurance carrier under the terms of the policy.

Submitting starts a response review only. Equipment availability, delivery time, pricing, written rental terms and carrier authorization are confirmed separately.

Insurance rental FAQ

Clear answers before dispatch and billing.

Does submitting the insurance rental request guarantee a unit?

No. The insurance intake starts a rental and documentation review only. It does not guarantee equipment availability, delivery timing, pricing, carrier approval, direct billing, or coverage. Rental terms and any insurance authorization must be confirmed in writing.

Can Cooler Lease bill my insurance company directly?

Carrier-authorized direct billing may be available after the carrier or third-party administrator provides written authorization and completes any required vendor setup. Direct billing is a payment arrangement, not a promise that the loss or rental is covered.

Does commercial insurance cover a temporary cooler or freezer rental?

Some policies may cover reasonable temporary refrigeration after an eligible equipment breakdown or property loss, while others may exclude the cause, limit the amount or require advance approval. Coverage and payment authorization are determined by the applicable policy and insurance carrier.

What information does Cooler Lease need from my adjuster?

When available, provide the carrier, claim number, date of loss, assigned adjuster, billing contact, approved equipment and rates, authorized rental period, invoice-submission instructions and written extension requirements.

Can you deliver before the insurance company approves the rental?

Potentially, depending on equipment availability and the site. If authorization is pending, dispatch may require a customer-authorized payment method or payment guarantee. Delivery timing and terms must be confirmed in writing.

What documentation will you provide?

The rental file may include an itemized estimate, agreement, equipment description, delivery and pickup records, site photographs, temperature records when available, authorized extensions, invoices, W-9, certificate of insurance and billing contacts.

Who pays the deductible or uncovered charges?

The customer remains responsible for deductibles, denied or uncovered charges, damage and rental periods not authorized by the carrier, unless a separate written agreement states otherwise.

What happens if the repair takes longer than the approved rental period?

Cooler Lease can submit an extension request, but the carrier or adjuster must authorize the additional rental period in writing. Unauthorized extensions may remain the customer's responsibility.

Can an adjuster or restoration company request a rental directly?

Yes. An adjuster, carrier, TPA, refrigeration contractor or restoration company may submit the dedicated intake. The request must still identify the insured location, operational need, authorized contact and billing arrangement.

Do you handle food-spoilage claims?

Cooler Lease provides temporary refrigeration and supporting documentation for its own rental services. We do not value spoiled inventory, adjust food-spoilage losses or determine whether spoilage is covered.

Does Cooler Lease determine whether my loss is covered?

No. Cooler Lease is the rental vendor. We do not interpret policies, determine coverage, adjust losses or represent policyholders in coverage negotiations. The applicable insurance carrier makes coverage decisions under the policy.

Cooler Lease is the rental vendor—not a public adjuster.
