1. Scope and contact
This policy describes the website’s information practices. Provide only information you are authorized to share. Do not include payment-card details, banking credentials, Social Security numbers, passwords, patient records or confidential procurement files in a public form. Ask for an appropriate handling method if sensitive documentation becomes necessary.
3. Website activity and attribution
Rental and insurance forms capture the landing-page URL, referring-page URL and campaign identifiers present in the URL, including UTM parameters and GCLID. Business-inquiry forms record the landing-page URL. These details help identify how an inquiry reached the site.
The website records certain interaction events in the browser, such as use of an inquiry link. Hosting and infrastructure providers may process technical request information, such as IP address, browser details, time and error logs, to deliver and protect the service. Assigned rental equipment may also transmit equipment-location, connectivity and operational-status data when the written agreement identifies monitoring or tracking functions, including required rural equipment tracking. This equipment telemetry is used for rental operations, security, support and maintenance; it is not intended to collect customer audio, video or personal-device content. The current application code does not itself install a third-party advertising pixel or set an advertising cookie. Platform-level storage and network practices may also apply.
You may manage cookies and site data in your browser. Restricting storage or scripts can affect website features. External websites have their own privacy practices; follow their notices when you leave this site.
Local-area preferences
When available, our hosting provider supplies an approximate city or ZIP from the connection to this website. We use it to show relevant rental information. You can change that area, choose a job-site ZIP, or select “Forget my location.” A manually selected area is saved in this browser for up to 30 days; detected areas expire after 30 minutes. This preference is not a delivery or equipment-availability confirmation.
When no area is saved, the website automatically requests device location through your browser’s permission prompt. When a device-detected area is active, the website listens for location updates while open and refreshes the displayed area when your rounded location changes. Choosing a rental ZIP stops automatic updates so your job-site selection stays in place. You can decline. After an unsuccessful attempt, automatic device requests are paused for that browser session; you can retry with “Use my current location.” Selecting “Forget my location” pauses automatic detection until you choose an area again. Before lookup, the website rounds coordinates to approximately a kilometer and sends them to our own service. The application does not save coordinates in its database or browser storage. Only the resulting area preference is saved; hosting providers may process request information under their own infrastructure policies. You can deny location permission and enter a ZIP instead.
4. Why information is used
We use submitted information to evaluate and respond to requests, confirm site and equipment requirements, prepare quotes and agreements, review dealer or vendor fit, coordinate authorized work, maintain records and address service issues. We also use relevant records for security, dispute resolution, accounting and compliance with legal obligations.
We may contact you by the methods you provide about your inquiry. Operational consent is not a subscription to unrelated promotional communications. Where optional marketing consent is offered, it is separate from service authorization. You can ask to stop optional marketing without withdrawing a rental inquiry.
5. When information is shared
Information may be processed by service providers supporting hosting, database storage, email delivery and business operations. Contact submissions are stored in the site’s database and the notification workflow sends request information to the designated Cooler Lease inbox. Personnel and authorized providers use relevant information to handle the request.
At your direction or with applicable authorization, rental information may be shared with the identified carrier, adjuster, third-party administrator, contractor or other representative. Information may also be disclosed as required by law or reasonably necessary to address fraud, protect rights, respond to lawful process or conduct a business transfer subject to applicable protections.
The website’s current form workflow does not sell submitted information or transmit it to an advertising network for cross-site behavioral targeting. If information practices materially change, this policy will be updated and any legally required notice or consent will be provided.
6. Retention and security
Records are retained as reasonably needed for the inquiry, rental or business relationship, accounting, claims, disputes, security and applicable legal requirements. Retention depends on the record and purpose rather than a single fixed period. A deletion request may be limited by required records, legal holds, fraud prevention or other lawful exceptions.
No website, email or storage system can guarantee absolute security. Avoid including sensitive information that is not necessary for the request, and contact us promptly if you believe information has been submitted or accessed improperly. Do not send identity documents with an initial privacy request.
7. Your choices and privacy requests
You may request information about our handling of your data or ask to access, correct or delete information you provided. Depending on the applicable law, your location and the nature of the data, you may also have rights to obtain a copy, restrict certain processing, withdraw consent or appeal a decision. We will evaluate requests and respond under the applicable requirements and exceptions.
Use the contact details above and describe the request. We may ask for proportionate verification or proof of an authorized agent’s authority to protect your information. If you wish to appeal a response, reply with “Privacy appeal” and explain what you would like reviewed. We will not unlawfully discriminate against you for exercising applicable privacy rights. These rights are not conditioned on accepting a dispute waiver.
8. Business services and minors
This site is intended for commercial and organizational inquiries by adults. It is not directed to children under 13, and the forms do not request children’s information. If you believe a child has submitted personal information, contact us so we can evaluate and address it.
9. Updates and related terms
The date above identifies this policy’s latest update. Material changes will be described on the site and handled with additional notice or consent where legally required. Review the Terms & Conditions for rental-request rules, food-spoilage responsibilities and dispute provisions. This privacy policy does not itself limit nonwaivable privacy rights.
