Unit returned
We confirm that the trailer has been received back into Cooler Lease intake.
Every rental begins with a written quote based on the equipment, dates, delivery address, route, and current availability. The minimum initial rental period is seven days.
The initial billing is the seven-day minimum rental charge at the daily rate in your current quote, plus quoted delivery and pickup, applicable sales tax, and the required $250 refundable security deposit.
Pricing is prepared for the unit, location, dates, and need described. A quote is valid for the availability shown when it is issued, but it does not hold equipment. Because another qualified request may reserve the same unit, availability and pricing must be reconfirmed when you accept.
Payment may be made by credit card, debit card, ACH, or bank wire as provided in the accepted quote. Secure payment details are sent after acceptance; never place payment-card or banking credentials in a public web form. Applicable state and local sales taxes may be charged. A tax-exempt certificate must be current, valid for the transaction, and issued exclusively to the same legal organization or company named as the renter. Certificates with nonmatching names, addresses, registration details, or purchasing entities are not accepted.
If the trailer uses site power, the customer must provide the correct voltage, phase, amperage, breaker protection, grounding, and connector specified for the assigned Cooler Lease electrical module. A qualified electrician should verify compatibility before energizing the unit. The customer maintains continuous approved power and monitors unit status and stored goods throughout the rental.
Optional gasoline- and diesel-powered generators may be quoted for an additional fee. They are delivered with a documented full tank. The customer safely operates, monitors, and refuels the generator and returns it full. Returns below full incur a $10-per-gallon refueling service charge with a five-gallon/$50 minimum. Propane-fueled generator models are coming in a future release; no availability date is promised.
Delivery or pickup may be completed by a Cooler Lease team member or an authorized contract carrier. Before arrival, Cooler Lease provides the driver or delivery contact name or identifier, company, contact method, and estimated arrival window. An ETA is an estimate and the assigned driver may change; verify any unfamiliar contact with Cooler Lease before releasing or accepting equipment.
Cooler Lease provides one wheel chock for every trailer tire. The complete set must remain correctly positioned at all times while the trailer is parked or deployed—no exceptions. Chocks may be moved only when the trailer itself is being moved or serviced under the direction of Cooler Lease or its authorized delivery or service provider, and must be replaced immediately afterward. Intentional unauthorized removal is a material safety breach and grounds for immediate rental termination without a refund of prepaid rental charges, subject to the accepted agreement and applicable law.
During the customer’s documented custody period, fixed equipment must not be removed, altered, relocated, or tampered with. This includes tires, wheels, refrigeration components, controls, breakers, wiring, lighting, doors, hinges, latches, locks, ramp hardware, and mounted accessories. Theft, attempted theft, vandalism, missing equipment, or material damage must be reported promptly. Responsibility for documented loss or damage is governed by the accepted agreement and is not capped by the $250 deposit.
Food-storage rentals require customer-provided insurance before delivery. The written quote and agreement state the required evidence and coverage. Customers should have a licensed insurance professional confirm coverage for inventory value, spoilage or temperature change, equipment breakdown, and utility interruption as applicable. Rental charges do not insure stored contents.
Every rental—short or long term—must be formally terminated through the CoolerLease.app rental portal using the access instructions supplied with the confirmed rental. No rental is final until that process is completed and termination is confirmed under the lease agreement. A stated end date, call, text, email, or pickup request does not by itself close the rental unless the accepted agreement expressly provides otherwise.
Review the separate Wi-Fi, rural tracking and 30-day maintenance requirements before accepting a longer-term or rural rental.
At delivery, the customer receives a walk-around of the trailer. Obvious existing damage is noted at that time so the starting condition is clear. The customer should raise any visible concern during handoff and follow the accepted agreement’s reporting procedure during the rental.
You receive status emails as the returned unit moves through intake and inspection.
We confirm that the trailer has been received back into Cooler Lease intake.
The return condition is compared with the delivery walk-around and any pre-existing damage noted at handoff. Any finding affecting the deposit is communicated.
When no chargeable issue remains, the $250 deposit refund is normally initiated within 3–5 business days after intake.
The completion email thanks you for the rental and includes a 5% coupon for a future rental, subject to the offer terms, equipment availability, and written confirmation.
The minimum initial rental and billing period is seven days. Rates are quoted per day based on the unit, location, dates, delivery and pickup scope, and current availability.
No. A quote reflects pricing and availability when issued, but it does not hold or reserve a unit. Availability must be reconfirmed when the quote is accepted and the written rental requirements are completed.
Accepted payment methods may include credit card, debit card, ACH, or bank wire. Secure payment instructions are provided after quote acceptance. Do not submit card or banking details through the public website form.
The initial invoice includes the seven-day minimum rental charge plus the delivery and pickup charges shown in the quote, applicable state and local sales taxes, and the required $250 refundable security deposit.
Yes. A current and valid tax-exempt certificate can be reviewed. It must be provided and accepted for the present transaction before the quote or invoice is finalized; tax treatment follows the applicable law and accepted documentation.
After the trailer is returned, received, and inspected, Cooler Lease normally initiates the refundable deposit within 3–5 business days when the unit is free of chargeable damage, missing equipment, extraordinary cleaning, refueling service charges, or unpaid amounts. Bank or card processing time may be additional.
Gasoline- and diesel-powered generators may be added for an additional quoted fee, subject to unit compatibility and availability. Propane-fueled generator models are planned for a future release but are not currently promised for any date.
Generators are delivered with a documented full tank. The customer maintains fuel during the rental and returns the generator full. A generator returned below full is subject to a $10-per-gallon refueling service charge with a five-gallon/$50 minimum, itemized and deducted from the deposit to the extent authorized by the rental agreement.
The customer must complete the rental-termination process in the CoolerLease.app rental portal and receive confirmation under the lease agreement. Expiration of an estimated term, a call, text, email, or pickup request alone does not finalize termination unless the accepted agreement expressly says otherwise. Portal access instructions are supplied with a confirmed rental.
No—not while the trailer is parked. Cooler Lease provides one chock for every tire, and the complete set must remain correctly positioned. Only an authorized move or service procedure directed by Cooler Lease or its delivery or service provider permits temporary removal. Intentional unauthorized removal is a material safety breach and grounds for immediate rental termination without a refund of prepaid charges, except where the accepted agreement or law requires otherwise.
