Interior shelving can make a rental cooler easier to organize, but “we need shelves” leaves several important questions unanswered. A catering team may work with shallow trays, a retailer with sealed cases, and a receiving team with mixed cartons. The useful question is how the inventory will occupy and move through the offered layout. Cooler Lease offers interior shelving for rentals, subject to the selected equipment and availability. Use this guide to prepare a request the rental team can review.

Start with packages, not just a product list

Write down the outside dimensions of the containers that will actually arrive. Include lids, handles, projecting rims and any outer cartons that remain in place. “Twenty trays” describes a quantity, but it does not tell the rental team whether the trays are the same size or whether staff need to remove them individually.

Choose representative examples for each packaging group. If several suppliers use different cartons for the same product, record the largest relevant package and explain the variation. Photographs can help a conversation, but pair them with measurements rather than asking someone to estimate dimensions from the image.

Describe the busiest inventory moment

List the quantity expected at peak storage, not only the average amount left at closing. Explain whether a replenishment delivery arrives before the previous stock has been used. A shelf plan that works between deliveries may not describe the space needed during receiving.

For a hypothetical two-day catering project, the opening delivery and the next day’s replenishment might overlap. Show the two quantities separately and ask whether they must fit at the same time. This is a planning example, not a claim about a particular event or a promise that any stated quantity fits a rental model.

Explain how staff will retrieve the stock

Identify which packages are removed most often, which move together, and which must remain identifiable as separate groups under your operating procedures. Tell the rental team whether staff will carry individual containers or use handling equipment that needs its own review.

Ask for a proposed layout that accounts for movement and access as well as stored goods. Do not count every visible area as usable storage. The offered unit’s operating guidance, required clearances and approved loading arrangement determine what space can actually be used. A trailer’s nominal model size alone does not establish shelf capacity.

Confirm the shelving that is actually offered

Request the number and dimensions of usable shelf levels, the applicable load limits, door and aisle clearances, and whether adjustments are permitted. If a dimension or limit has not been supplied, leave it as an open question. Do not substitute a specification from a different trailer or shelf system.

Discuss any packages that cannot use the proposed shelving and ask how those needs affect the equipment recommendation. Freezer and combination configurations require their own suitability review; a shelving arrangement discussed for a cooler should not be assumed available in another configuration. Special-order sizing can be discussed through the purchase and special-order inquiry page.

Put the agreed layout into the rental request

Include the shelving request, package summary, peak quantities, location and dates in the intake form. Ask that the written offer identify the shelving option and any applicable charges. Availability of an accessory does not by itself establish that it is included in a particular quote.

Before accepting the arrangement, have the person responsible for daily operation review the proposed layout and supplied instructions. If packaging or quantities change, tell the rental team before relying on the original plan.
