The IRS distinguishes a genuine rental from a conditional sale. Business rent may be deductible when the applicable requirements are met; a purchase arrangement is treated differently. The agreement's substance matters more than its label. Have your tax adviser review the actual contract and business use before claiming a deduction.
Bring your adviser the actual transaction
Assemble the signed agreement, amendments, invoices and payment records. Add a short explanation of how the equipment supports your business, where it is used and which dates the payments cover. Flag any purchase option or ownership provision. These facts are more useful than describing a proposal as a lease because that word appears in its title.
Ask your accountant to explain the classification and timing for your circumstances. This article provides general planning information, not a determination of your deduction, filing position or savings. State and federal treatment, business structure and accounting details require review by your adviser.
Keep the operating decision separate from an assumed tax result
Compare rentals using actual quoted costs and responsibilities first. A planning worksheet should show the equipment period, transport scope and any agreed additional services. If you want an after-tax comparison with purchasing, have your adviser calculate it from those documented inputs.
Do not subtract the entire rental bill from the budget on the assumption that a write-off makes the equipment free. Keep the amount the business must pay visible, then treat any adviser-supported tax analysis as a separate part of the decision.
Questions to take to the review
Ask what records should be retained, whether any contract provision changes the analysis, and which payment or use dates matter. If the arrangement changes later, send the amendment for review. A conclusion about an original short rental should not automatically be carried forward to a materially different agreement.
